1. Employment Terms & Conditions Policy
1.1 Purpose
This policy defines the fundamental terms and conditions governing employment at DhiShi Scientific Private Limited (“the Company”). It ensures transparency, professionalism, and legal compliance while setting clear expectations between the Company and its employees.
1.2 Nature of Employment
- Employment with DhiShi is contractual, governed by the appointment letter and this policy.
- Employment may be full-time, part-time, contractual, internship-based, or consultancy-based.
- Employment does not guarantee permanence unless explicitly stated in writing.
1.3 Place & Mode of Work
- DhiShi operates as a remote-first organization.
Employees may be required to attend virtual meetings, physical events, training programs, camps, or office visits when instructed.
1.4 Working Relationship
- Employees must act in the best interest of the Company, maintaining integrity, confidentiality, and professionalism.
- Dual employment or freelancing with competing organizations is prohibited without prior written approval.
1.5 Compliance with Laws & Policies
All employees must comply with:
- Indian labour laws
- Company policies
- POSH guidelines
- IT, data protection, and confidentiality requirements
Violation may result in disciplinary action.
2. Appointment, Offer Letter & Confirmation Policy
2.1 Offer of Employment
- Employment begins only after issuance of an official offer letter by DhiShi Scientific Pvt. Ltd.
Offer letters specify designation, compensation, probation, reporting authority, and start date
2.2 Acceptance of Offer
- Candidates must formally accept the offer in writing or by email before joining.
Failure to join on the agreed date without notice may result in withdrawal of the offer.
2.3 Appointment Letter
- Upon joining, employees will receive an appointment letter confirming employment terms.
The appointment letter is legally binding.
2.4 Confirmation of Employment
Confirmation is subject to:
- Successful completion of probation
- Satisfactory performance
- Adherence to company policies.
Confirmation is provided only in writing.
3. Probation & Confirmation Policy
3.1 Probation Period
- All new employees are placed on probation, typically for 3 to 6 months, unless stated otherwise.
Interns and trainees may have customized probation or learning periods.
3.2 Objectives of Probation
- Assess technical competence.
- Evaluate discipline, punctuality, and communication.
- Observe adaptability to company culture.
Ensure ethical and professional conduct.
3.3 Performance Review During Probation
- Regular reviews will be conducted by the reporting manager.
- Feedback, corrections, and improvement plans may be issued.
3.4 Extension or Termination
- Probation may be extended if performance is unsatisfactory.
- Employment may be terminated during probation with shorter notice or immediate effect, as per appointment letter.
3.5 Confirmation
- Successful completion leads to written confirmation.
- Salary revisions, if any, become applicable post-confirmation.
4. First One-Month Induction & Orientation Policy
4.1 Purpose
- The first month is considered a critical learning and evaluation period to align employees with DhiShi’s vision, ethics, and work standards.
4.2 Induction Program
During the first month, employees will:
- Attend orientation sessions.
- Understand company structure, brands, and objectives.
- Receive training on tools, SOPs, and workflows.
- Be assigned a reporting manager or mentor.
4.3 Learning & Observation Period
- The first month is primarily a learning-focused phase.
Employees must actively participate in training and tasks.
4.4 Evaluation Criteria
Assessment includes:
- Learning attitude
- Task completion
- Communication and responsiveness
- Professional behavior
4.5 Early Exit Clause
- The Company may discontinue engagement within the first month if performance or conduct is unsatisfactory.
Employees may also exit with minimal notice during this period.
5. Onboarding, Documentation & KYC Policy
5.1 Mandatory Documentation
Employees must submit the following:
- Government-issued ID proof
- Address proof
- Educational certificates
- PAN & bank details
- Passport-size photograph
- Signed appointment letter and NDA
5.2 Verification
- The Company reserves the right to verify all documents.
False or misleading information may lead to termination.
5.3 Access & Credentials
- Official email ID, system access, and tools will be provided post-onboarding.
Access is role-based and monitored.
5.4 Data Privacy
All employee data will be handled confidentially and in compliance with applicable laws.
6. Role Definition, Reporting Structure & Accountability Policy
6.1 Role Definition
- Each employee will have a clearly defined role and responsibilities.
Job roles may evolve based on business needs.
6.2 Reporting Structure
- Employees must report to the assigned reporting manager.
Instructions must be followed through official channels.
6.3 Accountability
Employees are accountable for:
- Assigned tasks and deadlines
- Quality of work
- Professional communication
- Ethical conduct
6.4 Performance Responsibility
- Non-performance, negligence, or repeated errors may lead to corrective action.
Accountability applies equally to remote and on-site work.
